Configure Access to EEE+ Canvas

Visibility Options

By default, your published course space will be available only to people associated with the course. You can opt to make the course space visible to the public or visible to all UCI students, faculty and staff. You also have the option to make only the syllabus publicly available.

You can configure the visibility options within the course settings in EEE+ Canvas.

Note: Enrolled students who click Go to EEE+ Canvas Course Space from MyEEE will be prompted to login to Canvas if the course space is publicly visible.

Levels of publishing

Unpublished items within an EEE+ Canvas course space will be available only to instructors, assistants, and designers. There are three levels of publishing, which can prevent students from accessing the materials.

Item Page, Quiz, Discussion, Assignment, File Unpublished items cannot be viewed, regardless of the publication status at other levels
Module Weekly module, theme module Module publication status takes precedence over item publication status. Published items in an unpublished module will be unavailable.
Course BIO 101 Predominant publication status. Students will have no access to anything in an unpublished course space.

Types of participants

There are six main types of people that can be associated with any EEE+ Canvas course space.

Grant access to additional students

Instructors can use EEE+ GrandCentral to add an additional student to an EEE+ Canvas course space. To add an additional student:

  1. Open EEE+ GrandCentral
  2. If your course does not already exist in EEE+ Canvas, you can request a course space
  3. Press Manage people Manage people button on home page
  4. Press Add additional students Add additional students button on people list
  5. Enter the UCInetIDs of the people you would like to add and press Next

    Put each on their own line or separate with a comma

  6. Verify that the information on the confirmation page is correct

  7. Press Add people Add people

The added additional student should be able to access your course space in approximately 1 hour.

Note that once the request has been processed, students can login to the course space through EEE+ Canvas and select the course space from the Courses menu on the left side.
What happens if an additional student becomes officially enrolled?

The student will be listed under multiple sections in EEE+ Canvas People for the course space. They will still have access to their course work and their grades for that course space. Additionally, the student will have their course appear under “MyStudentClasses” on EEE Legacy

Remove access for additional students

Instructors can use EEE+ GrandCentral to remove an additional student from an EEE+ Canvas course space. To remove an additional student:

  1. Open EEE+ GrandCentral
  2. Press Manage people Manage people button on home page
  3. Check the boxes next to the students you wish to remove Checkbox next to additional student
  4. Press Remove selected
  5. Confirm the removals and press Yes, remove person

The additional student should be removed from your course space in approximately 1 hour.

Note that once the request has been processed, the student will no longer be able to access their course work for the course space and their grades will be removed.
What happens to the student’s course work and grades after they are removed from the course space?

The student’s course work and grades will be removed from the course space. The course work and grades can be restored by re-adding the student as an additional student through EEE+ GrandCentral.

What happens if a student is officially enrolled and removed as an additional student?

The student will continue to have normal access to that course space. On EEE+ Canvas People, they will be listed under their officially enrolled section.

Grant access to teaching assistants

Instructors of record, as set by a department scheduler or UCI Summer Session, automatically have access to the EEE+ Canvas course space(s) once they are created through EEE+ GrandCentral. Instructors can use the Assistants tool in EEE Legacy to give their TAs or other individuals access to an existing course on EEE+ Canvas.

Add an assistant manually

If your EEE+ Canvas course space does not yet exist then you will not be able to provide access to EEE+ Canvas. You can create your course space through EEE+ GrandCentral. You will receive a notification when the course space has been created. You can then use the Assistants tool in EEE Legacy to provide your assistant with access to the course space.

Follow these steps to manually add an assistant to an existing EEE+ Canvas course space.

  1. Go to the Assistants tool in EEE Legacy
  2. Press Add Assistants
  3. Select the appropriate class(es) and press the Next button
  4. Enter the UCInetID(s) or UCI email address of the assistant(s) you wish to add in the boxes to the left under the Add UCInetIDs column, separating multiple IDs with a comma
  5. Check the box under Canvas Course Space (Only courses that have an existing EEE+ Canvas course space will have this option available) Screenshot of selecting permissions
  6. If you do not wish to notify the added assistant(s) by email, uncheck the Notify all assistants that they have been added to my classes option
  7. Press Finish

You should now have requested assistant access to your EEE+ Canvas course space. Once this request is processed, assistants will be able to access the EEE+ Canvas course space through MyEEE.

Note: It may take up to 4 hours for your assistant to be able to access the EEE+ Canvas course space.

Add assistants by uploading a CSV

You can also add assistants by uploading a CSV file with the classes and assistants listed. Create a spreadsheet with the course code of the class in the first column and the UCInetID or UCI email address of your TA in the second column. Each course code and assistant pair should be in their own row.

Note: It may take up to 4 hours for your assistant to be able to access the course space on EEE+ Canvas. Assistants will be able to access the EEE+ Canvas course space through MyEEE.

Edit existing assistant permissions

If your assistant has access to EEE Legacy tools, but not EEE+ Canvas, you can modify their permissions in the Assistants tool in EEE Legacy to include EEE+ Canvas.

Please be sure that the EEE+ Canvas course exists before initiating this process.

  1. Go to the Assistants tool in EEE Legacy
  2. Press Edit Assistants. The permissions for all assistants in all classes will be displayed.
  3. Check the box labeled Canvas Course Space next to the appropriate assistant. Note that this label will not be displayed if the EEE+ Canvas course space does not yet exist.
  4. Press Finish

The request to modify the permissions should now be submitted. Once this request is processed, assistants will be able to access the EEE+ Canvas course space through MyEEE.

Note: It may take up to 4 hours for your assistant to be able to access the EEE+ Canvas course space.

Add assistants in previous terms

If you would like to provide assistant access to an EEE+ Canvas course space in a term that is not available in the Assistants tool in EEE Legacy, you can request the addition via email to eee@uci.edu. The following information should be included in the request:

EEE staff will provide the assistant with access to the EEE+ Canvas course space on your behalf.

Remove assistants
  1. Go to the the Assistants tool in EEE Legacy
  2. Check the box(es) next to the assistant(s) you wish to remove
  3. Press Delete Checked Assistants
  4. Press Confirm Delete if you are certain you wish to remove all checked assistants

Your request to remove the assistant access has been submitted. Once the request is processed, they will no longer have access to your EEE+ Canvas course space.

Grant access to an observer

Instructors can use EEE+ GrandCentral to provide observer access to an EEE+ Canvas course space. To add an observer:

  1. Open EEE+ GrandCentral
  2. If your course does not already exist in EEE+ Canvas, you can request a course space
  3. Press Manage people Manage people button on home page
  4. Press the Observers tab
  5. Press Add observers Add observers button on people list
  6. Enter the UCInetIDs of the people you would like to add and press Next

    Put each on their own line or separate with a comma

  7. Verify that the information on the confirmation page is correct

  8. Press Add people Add people

The request to add an observer to the EEE+ Canvas course space should be processed in approximately 1 hour.

Note that once the request has been processed, observers can login to the course space through EEE+ Canvas and select the course space from the Courses menu on the left side.

Request access for an instructional designer

If you are working with an instructional designer to develop an EEE+ Canvas course space, you can provide them with access specifically created for a designer. This level of access will allow the designer to create and modify content within your EEE+ Canvas course space, but they will not have access to any student data.

View list of added participants

You can view non-student participants who are currently granted access to your course space by:

  1. Open EEE+ GrandCentral
  2. If your course does not already exist in EEE+ Canvas, you can request a course space
  3. Press Manage people on the course space you wish to view participants for Manage people button on home page
  4. To view Observers, click the Observers tab
  5. To view TAs, click the Assistants tab
  6. If you have any instructional designers, click the Designers tab to view them.

Access the course roster

Students who are officially enrolled in the course will automatically be added to your EEE+ Canvas course space. EEE regularly receives enrollment information from the University Registrar and Access UCI and automatically updates students’ classes.

Instructors and authorized assistants can access course rosters multiple ways:

Make a course space available

When your course is created on EEE+ Canvas, the course is unpublished. This means access to the space is restricted to the teaching staff. To make your course available to enrolled students, you need to publish the course.

You can publish the course using the Publish button available in the Course Status section on the right side of the course homepage.

View my course as a student

The student view allows you to experience the course as a “Test Student.” While masquerading as a student, you can access course content, submit assessments, participate in discussions and more. You can press Leave Student View in the lower right corner of your browser to return to your standard instructor view.

Once you leave the student view, you will be able to access the Test Student submissions and this faux individual will appear within the gradebook. You can use the process of submitting an assignment as the Test Student then grading the assignment as the instructor to see the full lifecycle of an assignment.

While within the Student View, you can click Reset Student in the banner at the bottom of the page to clear out all activity completed under the test student account.
